This privacy statement explains how Nesta will use personal information collected in the course of the Collective Intelligence Experiments for Social Impact programme (the “Programme”).

What kind of personal information will we collect?

When you apply to the Programme (and if you have signed up to take part in the partner matching process as described in our call for ideas) we will collect the following personal information about you, your staff and / or your partners:

  • Name
  • Job title
  • Contact details

We will also ask you to complete our diversity monitoring form but this is anonymous and so we will be able to identify you from this information.

What will we use the personal information for?

Personal information provided by you or your partners in an expression of interest or application for this Programme, including contact details for your staff and your partners’ staff, shall be used by Nesta for the purposes of:

  • Assessing and evaluating your expression of interest;
  • Processing your application to the Programme;
  • The administration of the Programme, including the application process; and
  • To carry out evaluation and research.

In addition, if you have signed up to take part in the partner matching process, we will include the information you have shared for this purpose in a spreadsheet that will be shared with other applicants who have signed up to take part in the partner matching process.

Our legal basis for using your information in this way is to give effect to your request to apply and (where successful) participate in the Programme and (where applicable) the partner matching process.

Who will we share the personal information with?

The personal information will be shared with the Nesta personnel who are managing the administration of the Programme. You can find details of the Nesta personnel here.

If you have signed up to take part in the partner matching process, the information you submit for this purpose will be shared with other applicants who have signed up to the partner matching process. Our legal basis for using your information in this way is to give effect to your request to take part in the partner matching process.

We use a third party provider, Submittable, as the platform for submitting and processing applications. Submittable are based in the United States and comply with the EU-U.S. Privacy Shield Framework. We remain the controller of your personal information in this arrangement – Submittable only processes your personal information in line with our instructions. Please see the Submittable Privacy Policy for more information. In using Submittable we are pursuing our legitimate interest to use third party technology to achieve greater efficiency within our organisation.

We may share your information with others who assist us with delivery of the Programme (for example for the purposes of non-financial support that may be made available to you) but we will tell you about this and provide further details before we do. Our legal basis for doing this is our legitimate interest of being able to work collaboratively with other organisations to deliver this Programme.

How long will we retain the personal information for?

We will only keep any personal information that you provide to us for as long as is necessary to fulfil the purpose for which you gave us the information and we will securely delete information when it is no longer needed for that purpose.

If you are successful in your application to the Programme, then we will keep your information for 6 years after the associated agreement has come to an end, or for 12 years if the agreement was executed as a deed. If you are unsuccessful in your application to the Programme we will retain your information for 3 years after the end of the application process for evaluation and business development purposes, and to provide you with future opportunities to apply for similar opportunities, funding and support. If you have signed up to take part in the partner matching process, we will keep your information for the duration of the Programme’s application process and will delete it at the end of that process.
